How to Set Up a Wedding Reception

Setting up a wedding reception may seem like an overwhelming task, as there are many components to arrange. From table set-up to testing all sound equipment, a lot of work goes in to setting up for a reception prior to the guests' arrival. While daunting at first, setting up a wedding reception is actually very simple. By preparing all tables in advance, you will make it easy for catering companies and bakers to deliver all of the food. Using the bride and groom's seating chart, you can quickly and efficiently put together a room for a wedding reception.

Instructions

    Arrange the tables according to the seating chart, with a minimum of six feet between each of the tables.

    Cover the tables with the tablecloths, making sure they are centered across the table tops. Set out the dishes and silverware according to the seating chart, making sure there is enough space for everyone.

    Place the centerpieces in the middle of each table. Arrange the centerpieces so that they all face the same way.

    Set up the buffet table in its designated spot. Cover it with a table cloth and leave it empty for the catering company to arrange upon arrival.

    Set up the table for the card box and guest book in its designated place. Cover it with a table cloth and place the card box on one side and the guest book on the other. Place escort cards in the center of the table to help guests find their seats.

    Arrange all of the wedding favors at seating cards in their designated places according to the seating chart. Place both the seating card and the favor in the center of the plate at each setting. Check to make sure all seating cards and favors are positioned the same on all plates.

    Set up the head table for the bridal party. Cover it with a table cloth and arrange all dishes and glassware. Place the centerpiece on the table.

    Set up the table for the wedding cake. Cover it with a table cloth and place the cake cutting set on the left side of the table.

    Test the lighting and sound equipment thirty minutes before the start of the reception to make sure that everything works properly.

    Light any decorative candles two minutes prior to guest arrival. Avoid lighting the candles too early, so that they do not drip or burn down too far before the guests see them.
